This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit or interact with our website (audia.tel) (the “Site”), sign up to start a trial, or use our products and services (the “Services”).

1.Information We Collect
We collect information to provide our Services and improve your experience.
a. Information You Provide
Trial Sign-Ups: When you start a trial or sign up to get started, we collect your name, email address, phone number, business name, and business type. We use this to contact you, set up your account, and tailor Audia to your business.
Communications: If you contact us directly (e.g., via email or our sign-up form), we may collect additional information you choose to share, such as your biggest challenges, number of staff, or current booking method.
b. Automatically Collected Information
Website Usage: When you visit audia.tel, we may collect information about your device and browsing activity (e.g., IP address, browser type, pages visited, timestamps) using cookies or similar technologies. This helps us understand how visitors use the Site and improve its functionality.
Call & Interaction Data: Our AI phone system logs call metadata (duration, status, direction, timestamps) and stores transcripts of calls handled by Audia on behalf of your business. This data is used to provide the Services and for quality assurance.
c. Client & End-User Data Processed Through Our Services
When you use Audia to manage your business, our platform processes data about your clients on your behalf. This may include names, phone numbers, appointment details, booking history, and communication preferences. We process this data strictly as a service provider under your direction and in compliance with applicable agreements and laws.
2.How We Use Your Information
We use the information we collect for the following purposes:
- •To Provide Services: To set up and operate your Audia account, answer calls, book appointments, and run outbound re-engagement campaigns on your behalf.
- •To Improve Our Platform: To analyze usage data, call logs, and feature interactions to enhance the quality and capabilities of our Services.
- •To Communicate: To send you onboarding emails, account notifications, product updates, and respond to your inquiries.
- •To Comply with Legal Obligations: To meet applicable regulatory requirements related to data protection, telecommunications, and business operations.
We do not sell, share, rent, or trade your personal information or your clients' data to third parties for marketing purposes.
3.How We Share Your Information
We may share your information only in the following circumstances:
- •With Service Providers: We work with trusted third-party vendors to support our operations — including cloud hosting, telephony and SMS delivery (provided by Twilio, our telecom carrier), and email services. These providers are contractually required to protect your information and use it solely for purposes we specify.
- •Payment Processing: We use Stripe to process payments. For subscription billing, your payment-method details are entered into Stripe-hosted checkout and never reach our servers. Where you enable in-person card payments through our POS feature, Stripe Terminal captures and tokenizes the card at the reader; we never see or store raw card numbers. We retain only non-sensitive transaction metadata (such as the Stripe payment-intent identifier, card brand, and last four digits) to display receipts and reconcile your account.
- •For Legal Reasons: We may disclose information if required by law, such as in response to a subpoena, court order, or to protect our rights, property, or safety, or that of others.
- •Business Transfers: If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to confidentiality protections.
4.SMS Communications
When you make a booking or otherwise interact with a business that uses Audia, we may collect your mobile phone number to send appointment-related text messages on that business's behalf.
Separately, if you create an Audia account (for example, as a business owner or administrator), we may use your mobile number to send you customer-support text messages — replies to your inquiries and to messages you initiate. These account-related messages come from Audia directly (not on a business's behalf), and are covered by the same consent, opt-out, frequency, and no-sharing practices described in this section. We deliver all SMS through Twilio, our telecom carrier.
What we send
Appointment confirmations, reminders, reschedule notifications, cancellation notifications, and replies from the business's AI assistant in response to messages you initiate. For account holders, we also send Audia customer-support messages — replies to your inquiries and to messages you initiate. We do not send marketing or promotional messages on the business's behalf unless you have separately opted in to that program with the business directly.
How we collect consent
You opt in by checking the SMS consent box when you book through a business's Audia booking page, by verbally agreeing when speaking with a business's AI phone assistant, by texting the business directly (which implies consent for our reply), or by an administrator at the business adding you. If you are a business owner or administrator, you opt in to Audia customer-support messages by entering your mobile number and checking the separate, pre-unchecked SMS-consent box on the Start Trial form at audia.tel, or by texting our support number directly (which constitutes consent for our reply). Consent is not a condition of any purchase.
Frequency and rates
Message frequency varies: for appointment messages, typically 1–5 messages per booking; for Audia account customer-support messages, frequency varies based on your support activity. Message and data rates may apply per your wireless carrier.
Opt out and help
Reply STOP to any message to opt out of further texts. Reply HELP for help. We persist your opt-out and consent state and gate every future send on it.
Sharing of mobile information
No mobile information will be shared with third party/affiliates for marketing or promotional purposes. Mobile information, mobile opt-in data, and SMS consent records will not be shared, sold, rented, or transferred to any third parties, affiliates, or lead generators for marketing or promotional purposes. We may share mobile information only with service providers (such as Twilio, our SMS carrier) that strictly support delivery of the messages you have requested, and only as needed to operate our platform.
Consent records
We retain SMS consent records (timestamp + source) for the duration of your business's subscription and for the period required by applicable law (TCPA + 47 C.F.R. § 64.1200). See our SMS Terms for the full message-program terms.
5.Data Security
We implement commercially reasonable technical, administrative, and physical safeguards to protect your information from unauthorized access, use, or disclosure:
- •Data transmitted to and from the Site and our Services is encrypted using industry-standard protocols (SSL/TLS).
- •Access to personal information and call data is restricted to authorized personnel only.
- •We use secure, access-controlled infrastructure for all data storage.

6.Your Choices
- •Account Information: You can choose not to provide certain details during sign-up, but this may prevent us from setting up your account or tailoring Audia to your business.
- •Cookies: You can adjust your browser settings to disable cookies, though this may limit some Site functionality.
- •Marketing Emails: If you no longer wish to receive marketing emails from us, you can unsubscribe using the link in any email or by contacting us directly.
- •Data Deletion: You may request deletion of your personal data by contacting us at hello@audia.tel. We will process your request subject to any legal obligations to retain certain data.
7.Data Retention
- •Account & Trial Data: We retain your name, email, business details, and communication history for as long as your account is active or as required by law. If you inquire or start a trial but do not become an ongoing customer, we typically delete this data within 1 year of your last interaction with us.
- •Call Logs & Transcripts: Call logs and AI-generated transcripts are retained for the duration of your subscription and for up to 1 year after account closure, unless you request earlier deletion or a different retention period is agreed in writing.
- •Client Data: Data processed on behalf of your business clients is retained according to your account settings and applicable legal requirements.
8.Third-Party Links
The Site may contain links to third-party websites or services. We are not responsible for the privacy practices or content of these sites. We encourage you to review their privacy policies before providing any personal information.
9.Children's Privacy
Our Services and Site are not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that a child under 18 has provided us with personal information, we will take steps to delete it promptly.
